Your privacy matters enormously to me. This policy explains how I collect, use, and protect your personal information when you visit my website or purchase products from Mind Full

I’ve tried to keep this as straightforward as possible, but privacy law does require certain things to be said in certain ways. If anything’s unclear, please just email me at info@MindFullHub.co.uk and I’ll be happy to explain.

Please note: This privacy policy covers only the website and online shop at www.mindfullhub.co.uk if you work with me for therapeutic services, a separate privacy policy applies to that work.

When you use our website or shop with us, we collect different types of information depending on what you’re doing:

When You Purchase Products

To process your order and send you your products, we need:

• Your name

• Email address

• Delivery address

• Phone number (in case there’s a delivery issue)

• Payment information (though this is processed securely by our payment provider – we don’t store your full card details)

When You Sign Up to Our Mailing List

If you sign up for newsletters or updates, we collect:

• Your name (if you provide it)

When You Browse Our Website

Like most websites, we automatically collect some technical information:

• Your IP address (a number that identifies your internet connection)

• Browser type and version

• Pages you visit on our site

• How long you spend on pages

• Where you came from before visiting our site

This helps me understand how people use the website and how I can make it better for families like yours.

Why We Collect Your Information and Our Legal Basis

I only collect information for specific, genuine reasons. Here’s what I use your data for and the legal basis that allows me to do so:

To Process Your Orders: What we do: Take payment, pack your order, arrange delivery, send you order confirmations and updates, handle any returns or refunds

Legal basis: Contract performance – I need this information to fulfil my contract with you when you place an order

To Send You Marketing and Updates: What we do: Send newsletters, information about new products, tips for supporting your family and updates from Mind Full

Legal basis: Consent – You’ve actively chosen to sign up for our mailing list (and you can unsubscribe anytime – there’s a link at the bottom of every email)

To Improve Our Website and Business

What we do: Analyse website usage to understand what’s working and what isn’t, fix technical problems, develop new products and resources

Legal basis: Legitimate interests – I have a legitimate interest in running my business effectively and improving the experience for families who visit the site

To Comply With Legal Obligations

What we do: Keep records for accounting and tax purposes

Legal basis: Legal obligation – The law requires businesses to keep certain records

Who We Share Your Information With

I don’t sell your data to anyone, ever. However, to run the business and get your orders to you, I do need to share some information with trusted third parties who help me:

• Payment processors (like Stripe or PayPal) – they process your card payment securely

• Delivery companies (like Royal Mail or courier services) – they need your address to deliver your order

• Email service providers (like Mailchimp) – if you’re on our mailing list, they send out newsletters on our behalf

• Website hosting – the company that hosts our website

• Analytics services (like Google Analytics) – to understand how people use the website

All these companies are carefully chosen and are required to keep your data secure and use it only for the specific purpose we’ve agreed.

I may also need to share information if required by law (for example, with HMRC for tax purposes, or if ordered to do so by a court).

How Long We Keep Your Information

I only keep your information for as long as necessary:

• Order information: 7 years (this is required by tax law)

• Mailing list: Until you unsubscribe (or until we notice you haven’t opened any emails for 2+ years, at which point we’ll remove you to keep our list current)

• Website analytics: Typically 26 months

Your Rights

Under UK data protection law (UK GDPR), you have several important rights:

• The right to access – You can ask for a copy of the personal information I hold about you

• The right to correction – If any information is wrong, you can ask me to correct it

• The right to erasure – You can ask me to delete your data (though I may need to keep some records for legal reasons)

• The right to restrict processing – You can ask me to limit how I use your data

• The right to data portability – You can ask for your data in a format that’s easy to transfer elsewhere

• The right to object – You can object to certain types of processing (like marketing)

• The right to withdraw consent – If you’ve given consent for something (like marketing emails), you can withdraw it at any time

To exercise any of these rights, just email me at lisa@MindFullHub.co.uk and I’ll respond within one month.

How We Keep Your Information Safe

I take data security seriously. Your information is stored securely and I use appropriate technical and organisational measures to protect it from unauthorised access, loss, or misuse.

Payment information is processed through secure, encrypted payment gateways – I never see or store your full card details.

That said, no internet transmission is ever 100% secure, so I can’t guarantee absolute security. But I do everything reasonably possible to protect your data.

Cookies and Website Tracking

Our website uses cookies – small text files stored on your device that help the website function and help me understand how people use the site.

What Are Cookies?

Cookies are tiny files that websites store on your computer or phone. They help websites remember things about you (like items in your shopping basket) and help website owners understand how their site is being used.

What Cookies Do We Use?

Essential cookies:

These are necessary for the website to work properly. They remember things like what’s in your shopping basket and keep you logged in. You can’t turn these off without the website breaking.

Analytics cookies:

We use Google Analytics to understand how people use our website – which pages are popular, where people get stuck, how long they stay. This helps me improve the site. These cookies don’t identify you personally.

Marketing cookies:

These may be used to show you relevant content or remember your preferences. We’ll always ask for your consent before using these.

Managing Cookies

When you first visit our website, you’ll see a cookie banner asking for your consent for non-essential cookies. You can accept or decline.

You can also control cookies through your browser settings. Most browsers let you block cookies or delete existing ones. However, if you block all cookies, some parts of the website might not work properly (like the shopping basket).

How to Complain

I really hope you never need this section, but if you’re unhappy with how I’ve handled your personal information, you have the right to complain.

First, please contact me directly:

Email me at lisa@mindfullhub.co.uk and I’ll do everything I can to sort things out for you.

If you’re still not satisfied, you can complain to the UK’s data protection regulator:

Information Commissioner’s Office (ICO)

• Website: www.ico.org.uk

• Phone: 0303 123 1113

• Address: Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF

Changes to This Policy

I may need to update this privacy policy from time to time (for example, if the law changes or if I start using new technology). If I make significant changes, I’ll let you know – either through an email if you’re on our mailing list, or through a notice on the website.

It’s a good idea to check this page occasionally to stay informed about how I’m protecting your information.

Questions?

If you have any questions about this privacy policy, how I handle your data, or anything else privacy-related, please don’t hesitate to get in touch:

Email: lisa@mindfullhub.co.uk

I’m always happy to explain things more clearly or answer any concerns you might have.

Thank you for trusting Mind Full Of Art with your information.

Your privacy and trust are very important to me.
